Everything the portal does, in the order you are likely to meet it. The pictures show made-up concerts in the dark theme; tap one to see it full size.

Getting started

There is no sign-up. An administrator sends you an invitation by e-mail; the link in it works once and for seven days. Open it, choose a password, and you are logged in. If you forget the password later, "Forgot password" on the login page sends a new link the same way — that one is valid for an hour.

Do two things first under Account: check that the time zone is yours, because reminders and dates follow it, and on a phone add the portal to the home screen. On an iPhone that is the Share button and then "Add to Home Screen"; on Android and on a computer the browser offers "Install". Opened from there, the portal fills the screen like an app and starts on the dashboard.

  • The dashboard: the next concert with a countdown and quick links, upcoming concerts, open to-dos and queued reminders

Concerts and venues

A concert is who, where and when: artist, venue, date and, if you know it, the time. The rest is optional — what the ticket cost, a link to the ticket shop, who is coming along, and notes for anything else. After the show you can rate it with one to five stars and write down how it was.

Venues are typed once. The first concert at a new place creates the venue; from then on it is picked from a list, and under Venues you can add the address, city, country and website, so the map link and the share pages know where it is.

Every concert carries quick links: the venue on Google Maps, the artist on Spotify and earlier set lists on Setlist.fm. They are built from the names you typed, so nothing is looked up behind your back.

Finding things

The concert list opens with what is ahead. The pills at the top switch between Upcoming, Past, All and Month — a calendar grid with today marked. Below them a search box finds artists and venues by any part of their name, and a venue and a year can be picked to narrow the list.

Every filter is part of the address, so a view you use often — this year's concerts, everything at one venue — can be bookmarked or sent as a link to yourself.

Reminders

The evening before a concert, at six o'clock in your time zone, you get an e-mail so the day does not sneak up on you. A to-do with a due date gets its mail at eight in the morning on that day. You can also set reminders of your own, for anything, at any time; under Reminders you see everything that is queued.

Mails are sent at even hours between eight in the morning and eight in the evening, Swedish time, never at night. A reminder set for 09:15 therefore arrives at 10:00, and one set for 22:00 arrives at 08:00 the next morning. The concert mail can be turned off under Account → Settings.

The sender is portal@livemusicplanner.com. If the first mail lands in the spam folder, adding that address to your contacts usually fixes it.

Calendar subscription

The calendar on your phone or computer can subscribe to your concerts, so they appear there and stay up to date without any copying. Turn it on under Account → Calendar subscription, then add the link to your calendar app:

  • Google Calendar (on the web): Other calendars → + → From URL, paste the link. Google refreshes about once a day.
  • iPhone, Apple Calendar, Outlook: tap Subscribe, or add a subscribed calendar and paste the link.

The feed holds your concerts from two years back onwards — the coming ones and a little archive — with venue, time, price and companions. Notes and ratings are never included. Changes show up when your calendar app refreshes, usually within a few hours.

The link is a secret: whoever has it can read your concerts. Under Account you can reset it (calendars using the old link stop updating until you subscribe again) or turn the feed off.

  • Account: the calendar subscription that keeps the calendar on your phone in sync

Sharing a concert

To tell friends about a show, open the concert and choose Create share link. Anyone with the link sees a small public page with the artist, the venue and its address, date, time, ticket price and ticket link, and can add the concert to their own calendar from it. Pasted into a chat, the link unfurls with a preview picture of its own.

The page never shows your notes, companions, rating or name. It is refreshed whenever you save the concert, disappears 30 days after the concert date, and stops working the moment you choose Stop sharing. Sharing again creates a new link.

  • A shared concert as friends see it: artist, venue with address, date and time, price and a ticket link — never notes or ratings

Export and import

Download CSV at the bottom of the concert list gives you every concert, past and future, notes included, as a semicolon-separated file that opens straight into columns in Excel. The columns are

Artist; Venue; City; Country; EventDate; Time; Price; Url; Companions; Rating; Notes

The same file can be imported again with Import from CSV next to it, which also makes it a simple way to bring in a spreadsheet you already keep. Columns are matched by name and the separator is detected, so only three are needed: Artist, Venue and EventDate, with dates written as 2026-11-30 (a time may follow). City and Country are for reading; the import goes by the venue name. Nothing is imported unless every row is valid, so a typo in one line fails the whole file with a message saying which row.

Statistics

Stats adds up the concerts you have been to: how many and what they cost, per year and in total; the artists and venues you have seen most; how you rated them and the five-star nights; milestones such as your tenth, fiftieth and hundredth concert and how far the next one is; who came along most often; and which months you go out most. Only past concerts count — the coming ones are not history yet.

Appearance

Under Account → Appearance you choose Light, Dark or System, where System follows your device. The choice is remembered in that browser, so a phone and a computer can differ.

Questions

Can I get an account?
The portal is private and invitation-only, for a small group of family and friends. If you think you belong there, get in touch.
Does it cost anything?
No. It is a hobby project, run by one person, with no ads and nothing for sale.
Can other people see my concerts?
No. Nobody else in the group sees your list, notes or ratings. The only things that leave your account are the share links you create and the calendar feed you turn on — and both are yours to switch off.
Why did my reminder come at ten, not nine?
Mails go out at even hours between 08 and 20 Swedish time. A reminder becomes due at the time you set and is sent at the next of those hours.
I have lost the calendar link, or someone else has it.
Reset it under Account → Calendar subscription. The old link stops working at once; subscribe again with the new one.
How do I get my data out, or my account removed?
Download CSV on the concert list gives you every concert with notes. For anything else — a changed e-mail address, or closing the account — ask the administrator; the Privacy page says what is stored and what happens then.
